Overview

JOB SUMMARY

 

Performs all duties necessary for the efficient operation of the front office. Some of theses duties include greeting clients, accepting fees, entering visits into computer, confirming and scheduling appointments, answering telephone, typing, filing, faxing, and copying.

 

JOB RELATIONSHIPS

 

Responsible To: Assist Office Manager

 

Workers Supervised: None.

 

Interrelationships: Deals with clients, client’s families, interdisciplinary personnel, and all phone calls.

JOB RESPONSIBILITIES

 

Primary Job Responsibilities

 

 

  • Answers and appropriately screens and routes telephone calls.
  • Delivers messages.
  • Greets clients and informs clinician of client’s arrival
  • Enters visit into computer and on card.
  • Collects client fee and distributes Metro Cards if applicable.
  • Confirms client appointments
  • Schedules client’s next psychiatric appointment as per Doctor’s request
  • Pulls client charts for clinicians.
  • Files client charts at the end of each day.
  • Files, types, fax, and copies all necessary material for clinicians.
  • Mails requests for medical and school reports.
  • Verifies clinician’s daily billing encounter forms with computer schedule
  • Enters clinician’s weekly schedule into the computer and on daily calendar.
  • Completes work within authorized time to assure compliance with clinic standards.
  • Demonstrates knowledge of, and supports, clinic mission, vision, and value statements, standards, and the code of ethical behavior. 

Other

  • Attends weekly supervision with Assistant Office Manager.
  • Performs other duties as required.

Ability to enter and retrieve data from computer.

  • Ability to utilize EVAC machine.

  • Ability to converse in calm and friendly manner.
  • Ability to view and interpret data on computerized system.
  • Ability to effectively communicate on the telephone. 

INTERPERSONAL SKILLS

 

  • Ability to effectively communicate and interact with clients; staff; colleagues; public; and other agencies and their staff.  

Qualifications

JOB SPECIFICATIONS:

 

Education: Successful completion of high school. 

 

Training and Experience: Must be able to type 35 wpm and operate a personal computer.

 

Job Knowledge: Must have knowledge of Medicaid, Medicare, and third party requirements.  Must show maturity in dealing with fellow employees.  Superior written and verbal communication skills are a must.
