Overview

JOB SUMMARY:

Under the general supervision of the Purchasing Manager, this position Coordinates activities involved with procuring goods and services such as raw material, equipment, tools, parts, supplies, and advertising, for the organization by performing the following duties.

Responsibilities

ESSENTIAL TASKS:

 

  1. Creates purchase orders from requisitions.
  2. Confers with vendors to obtain product or service information such as price, availability, and delivery schedule.
  3. Data entry and filing paperwork.
  4. Obtains price quotes from multiple suppliers.
  5. Runs reports to help determine needs.
  6. Prepares purchase orders or bid requests.
  7. Issues purchase orders to suppliers and confirm delivery date, quantity ordered and price are correct.
  8. Maintains procurement records such as items or services purchased, costs, delivery, product quality or performance, and inventories.
  9. Discusses defective or unacceptable goods or services with inspection or quality control personnel, users, vendors, and others to determine source of trouble and take corrective action.
  10. Processes receipts and invoices for payment.
  11. Expedites delivery of goods to users. Interacts with both internal and external auditors by providing the required documentation and ensuring that the proper information is maintained for historical purposes.

 

ESSENTIAL KNOWLEDGE, SKILLS AND ABILITIES:

 

  • Ability to work with mathematical concepts such as fractions, percentages, ratios, and proportions to practical situations.
  • Excellent interpersonal communication, written communication, presentation and organizational skills.
  • Intermediate to Excellent PC skills, including MS Office experience, including Excel (spreadsheets) and Word (word processing) and accounting software such as Solomon.
  • Ability to multitask, consistently meet deadlines, and demonstrate strong time management skills.
  • Ability to communicate orally and in writing with vendors, agency staff, and the public in face-to-face, one-on-one settings; in group settings; and over a telephone.
  • Ability to work cooperatively with others.
  • Ability to understand and adhere to all corporate compliance and other regulatory requirements governing the functions of the position

Qualifications

 

MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS:

 

Associates or Bachelor’s degree preferred. A minimum of two years of experience in Accounts Payable and/or Purchasing. Computer background and experience with accounting software, Excel, etc.
