  • Overview

    Under the general supervision of the Leasing Administration Manager, and in conjunction with the Director of Real Property, functions as part of a team, centralizing the leasing process for new and renewal leases: Assist in the search and location of apartments; Negotiate leases; Develop and manage tracking systems of apartment, repairs, expired and new leases, consumers in rent arrears; Perform routine clerical and administrative functions such as typing correspondence, reports, purchase orders, etc. scheduling appointments, organizing and maintaining paper and electronic files.

    Responsibilities

    1. Secures information, such as location of apartment and evaluates if apartment meet ICL guidelines and standards. Working with the Program and Real Property team, facilitate completion of lease process either manually or electronically as instructed.
    2.  Review new leases or renewals once received to ensure all necessary information is complete
    3. Monitor expired lease rent schedule to ensure renewals are received 60 – 90 days prior to expiration.
    4. Develop and maintain tracking system, while working closely with Finance and Entitlement Department for the consumers in rent arrears.
    5. Take pictures of apartments for approval of leases of apartments for new and renewal leases.
    6.  Facilitate correspondence with landlord for necessary repair, maintaining return receipt mail log, as well as correspondence log, while working closely with Real Property to ensure repairs are made in a timely manner.
    7.  Maintains up-to-date, new and renewal leases, consumer’s, landlord addresses and information.
    8.  Functions as liaison to agency administrative and support departments: Coordinates communication and services from support departments, especially Facility Maintenance, Purchasing and Finance and Real Property.
    9. Responsible for overall office management, maintains supply of all forms and updates in a timely manner.
    10. Maintain up to date census data, ensure new admits and discharges are processed in a timely manner.
    11. Complete worksheet and subleases of newly admitted consumers in a timely manner.
    12. Provides reception services; receives phone calls and visitors with courtesy and professionalism direct incoming and outgoing calls and faxes in a timely and accurate manner.
    13. Responsible for Purchase Order management: monitors the inventory of program and office supplies, apartment furnishing and prepares purchase orders as needed. Follow through with purchasing process by placing orders, confirming deliveries and providing documentation to and from the Finance Department
    14. Assist supervisor in maintaining accurate and timely attendance records and other reports and records required by agency. Develops, maintains and updates program manuals and information. Transmits instructions from supervisor to appropriate staff orally, in writing or electronically and follows up to see that instructions are followed and deadlines are met
    15. Other job-related duties that may be assigned from time to time.

    Qualifications

    High School diploma or GED and a minimum of 4 years administrative experience, in a real estate or property management office. Must be able to satisfactority use computer word processing equipment and programs and type letters, reports forms and other documents. BA plus one (1) year or Associates plus two (2) years above experience.
